Powered by Google Translation: The system integrates with Google Translate, allowing users to view texts in their preferred language.

This Feature is only available on the web version and soon to be on mobile.

Hi there,

We’re pleased to announce the introduction of the Private Payer option in the staff admin view, designed to enhance data privacy and security for each payer.

Key Features:

  • Tailored Access for Every Parent:
    Our new feature allows management to customize data visibility for each payer. Now, separated or co-parenting families can access only their specific invoices, payments, deposits, balances, payment methods, plans, and relevant information—ensuring privacy and clarity for all parties. Simplify communication and keep everyone informed with ease!
  • Default Setting:
    The Private Payer option is unselected by default, allowing payers to view shared information. This can be easily toggled on or off as needed.
  • Customized Invoice View:
    When selected, the invoice tab in the Parent View will display information specific to the logged-in payer, ensuring they only see their transactions, reports, deposits, balances, notifications, and saved payment methods.

This feature enhances the user experience by providing greater control over personal data and ensuring that sensitive information is kept private and secure.

We’re thrilled to announce a new feature that empowers staff admins to define custom recurring periods for invoice generation, enhancing flexibility and control over billing processes.

Key Features:

  • Custom Recurring Options: Staff can create personalized invoice rules, specifying the number of days between each invoice generation (up to a maximum of 30 days).
  • Define Due Dates: The due date dropdown will align with the custom days specified, ensuring clarity and accuracy in billing.
  • Invoice Timing Control: Staff can set how many days prior to the due date the invoice should be sent, allowing for timely reminders to clients.
  • Custom Rule Descriptions: A descriptive message for each custom invoice rule will be displayed on the invoice screen, providing transparency and context for staff and clients.
  • Child Profile Integration: The invoice generation and due dates will be clearly displayed in the child profile, ensuring easy access to billing information for both staff and parents.

This feature enhances the invoicing process by providing tailored options that cater to individual needs, ultimately improving efficiency and communication in financial management.

Enhanced Refund Processing for Parent Pay

Hi there,

We are excited to introduce a new refund option for transactions made using Parent Pay, enhancing our financial management capabilities.

Key Features:

  • Flexible Refund Options: Staff can now process both full and partial refunds for transactions paid through Parent Pay, providing greater flexibility in managing client payments.
  • Automated Record Creation: The system automatically creates a refund transaction record and generates a PDF for each refund processed, ensuring accurate documentation.
  • Payment Status Updates: Once a refund is processed, the payment status is updated to reflect either "refunded" or "partially refunded," maintaining clear records.

    Payment Restrictions:
  • Full Refunds: Payments that are fully refunded will be marked as such and cannot be used to settle new invoices. They will also be unlinked from any associated invoices.
  • Partial Refunds: For partially refunded payments, the remaining balance can still be used online to settle any outstanding invoices.

This feature streamlines the refund process, ensuring efficient handling of client transactions and enhancing overall customer satisfaction.

Our Waitlist just got some cool new features

We’re introducing a new Advanced Search Filter in our waitlist feature to enhance user experience and simplify multi-location management.

  • Filter by Location: Users can now apply a location filter on the waitlist screen, allowing them to view results for all locations they have access to from a single screen.
  • Mandatory Location Selection: To streamline the process, selecting a location is now required before viewing inquiries.
  • Simplified Multi-Location Access: Users with access to multiple locations no longer need to navigate to each location separately—everything can be managed from one view.

This new feature makes it easier to find specific information and manage multiple locations efficiently!

Advanced Search Filters – Filter Categories

We’re excited to introduce new waitlist advanced search filters that allow users to refine search results based on specific criteria, enhancing their overall experience.

  • Age Range: Narrow down inquiries based on the child’s age range (in months).
  • Status: Filter inquiries by their current status, such as [New, Viewed, Waitlist, Confirmed, Enrolled, Lost].
  • Creation Date: Easily sort inquiries by their creation date for better tracking.

These filters make it easier to quickly locate and manage inquiries, offering more control and efficiency!
