Invoice Rules Enhancement - Clearer, More Predictable Due Dates

Hi there,

​We're replacing the "Due X days after creation" logic with fixed, predictable due dates that align with how centers actually bill families.

New System:

  • Monthly rules → Due on a fixed calendar date (e.g., 1st, 5th, 15th)
  • Weekly & Bi-weekly → Due on a specific weekday (e.g., every Monday)
  • Custom N-days → Due on a specific day within your cycle
  • Twice per month → Each period uses a fixed calendar date

No more due dates drifting throughout the month. No more confusion about when payments are expected. Just clear, consistent billing that families can plan around.

Your due dates may shift with this update. Please review your invoice rules to ensure they align with your billing expectations.

How to Review:

  1. Navigate to Settings → Invoice Rules
  2. Check each rule's due date setting
  3. Adjust if needed to match your preferred billing schedule
  4. Save changes

Now your billing cycle stays exactly where you set it, every time.

Immunization and Multiple Contacts in the Form Builder Now Live

NEW: Immunization Information Collection

What's New

Parents can now submit and update their child's immunization records directly through Parent App, based on the immunization schedule you've configured in your settings.

How It Works

  • For Centers: Set up your required immunization schedule once in your admin settings
  • For Parents: They'll see a clear, easy-to-follow form showing which immunizations are needed based on their child's age

Why This Matters

No more filing cabinets full of vaccination cards. No more manually tracking who needs what shot when. Just clear, organized, digital health records that keep everyone safe and compliant.

Getting Started

  1. Navigate to Settings → Children → Immunization Schedule
  2. Configure your required immunizations based on your local regulations
  3. Add Immunization to the Form Builder
  4. Parents will automatically receive prompts to upload documentation

NEW: Mandatory Multiple Emergency Contacts

What's New

You can now require parents to provide multiple emergency contacts before they can complete enrollment or access certain features.

How to Enable

  1. Go to Smart Tools → Build New Form → Add Contact
  2. Go to Setting within the Form Builder → Toggle ON "Allow Parent to Add Multiple Contact"
  3. Set your minimum number of required contacts
  4. Make the field mandatory

What Parents Experience

  • Clear prompt explaining why multiple contacts are essential for child safety
  • Easy-to-use form for adding contact details
  • Ability to set contact priority and specify relationships
  • Option to indicate special permissions (pickup authorization, medical decisions)

The Safety Impact

We have some exciting news to share: We’ve been working on something behind the scenes, something that reflects not just where we’re going, but what we stand for.

Parent App is about to look and feel completely different and we wanted to give you a glimpse before the exciting change goes live.


What's changing?

  • A new layout with a cleaner, more intuitive design.
  • A new “Holdingsaccount is introduced for multi-centre owners, that allows you to see analytics from all your centres at once.
  • Widgets that you can customize so you see what you want to see, where you want to see it on your overview dashboard.
  • Relocated Navigation Bar that's easier to find and use.
  • Refreshed colors and branding that reflect our commitment to you & simplicity.

Note: These updates are currently available on the web portal only.

We also renamed a few of your favorite features to help you find them faster:

  • Form Builder is now Smart Forms
  • Inspiration Library is now Activities (because that’s what it helps you plan!)
  • Activities is now Homework (that you can assign to bridge home-centre life)
  • Parent Permissions is now Consent
  • And Document Center is now Parent Drive (a hub to share important information with parents!)

What's staying the same? Everything you rely on! All your favorite features they're all still there, just easier to access and navigate!

Why are we making this change? As always, it’s been shaped by you: your feedback, your needs, and the mission we share to make early childhood the best it can be. It's the result of months of listening to your feedback about what would make your daily workflow smoother and more efficient.

When will this happen? We'll be rolling out the new interface and revealing our new logo on Monday September the 15th. Save the date!

NEW Immunization Tracking Now Available on the Portal

Hi there,

We’re excited to announce a new feature now available on the Parent portal: Immunization Tracking!

This update helps you manage and record children’s immunization histories directly within their profiles, making health recordkeeping easier and more organized.

What’s new?

Admins can now:

  • Enable immunization tracking from System Settings
  • Set up vaccines and dose schedules (like DTP, MMR, Polio)
  • Configure next-dose reminders and intervals
  • View and manually log immunization details per child (date, provider, next dose due)

Staff with permission can:

  • Enter and update immunization records in each child’s profile under Health → Immunizations
  • Edit or remove entries when needed

While automated reminders and notifications are not part of this initial release, they will be available soon.
